JOB SUMMARY

The Warehouse Assistant is responsible for the optimal management of inventory throughout the hospital, actively participating in the maintenance, movement, and accuracy of stock levels. This individual will apply their knowledge of inventory management and attention to detail to identify potential discrepancies, verify stock levels against the system, and efficiently resolve any differences. The Warehouse Assistant will be responsible for maintaining positive working relationships, handling work requests, and ensuring the order and cleanliness of their assigned area.

They will be required to work across various areas of the hospital and multitask effectively during peak periods. This individual will not be assigned to a single division but will provide necessary support to different divisions within the hospital, in line with Netcare’s patient-centered healthcare strategy.

The support provided will depend on the hospital’s needs, so they will need to adapt to work requests that may vary continuously based on demand and adjust to variable work schedules to maximize productivity.

Job Profile Summary:

The Warehouse Assistant will be responsible for maintaining positive working relationships, handling work requests, and ensuring the order and cleanliness of your assigned area.

You will be required to work in various areas of the hospital and multitask effectively during peak periods. This individual will not be assigned to a single division but will provide necessary support to different divisions within the hospital, in line with Netcare’s patient-centered healthcare strategy.

KEY RESULTS AND RESPONSIBILITIES

DISRUPTIVE INNOVATION

Inventory Control Management

  • Reconcile physical inventory with the SAP system.
  • Replenish consumable inventory throughout the hospital on the days specified by management.
  • Generate Material Requirements Planning (MRP) for all storage locations according to the replenishment schedule.
  • Issue, pick, and pack replenishment inventory for storage locations or cost centers.
  • Deliver and unpack inventory to assigned storage locations.
  • Record inventory and consumable transfers between storage locations or cost centers.
  • Monitor and identify any expired or damaged inventory in the wards.
  • Identify excess and slow-moving inventory in the storage locations assigned to the position holder and return the inventory to the pharmacy when appropriate. • Review the inventory days report at the storage location (SLOC) and adjust inventory quantities to the levels in the Material Requirements Planning (MRP).
  • Review the error log report and ensure all error logs are deleted. • Coordinate with nursing staff on the wards to ensure all invoices are up to date before updating stock replenishment requests.
  • Identify stock shortages and inform unit heads.
  • Manage out-of-stock items and backorders.
  • Ensure all stakeholders receive out-of-stock notifications.
  • Ensure manual billing sheets are available during Mobil and Mobit service outages. • Ensure that stock is correctly placed on shelves and consider the FEFO (First Expired, First Out) and FIFO (First In, First Out) principles when applicable to maintain stock rotation.
  • Prepare and sequence all inventory books for assigned units.
  • Investigate and report inventory discrepancies, thefts, and losses to the unit head and the pharmacy manager.
  • Assist with packaging supplies for surgical procedures. • Tracking pending receiving slips
  • Investigating open purchase orders and pending orders
  • Placing stock orders for the hospital warehouse in the preferred purchasing system, as needed
  • Checking prices in the purchasing system
  • Receiving and verifying stock with the designated person upon delivery
  • Unpacking stock in the hospital warehouse
  • Ensuring invoices or delivery slips are confirmed, signed, and delivered to the appropriate department for goods receipt
  • Maintaining the security of the hospital warehouse at all times, preventing unauthorized access
  • Staying up-to-date with changes in SAP and OrderCo

Inventory

  • Participating in all aspects of cycle and roll count processes in all warehouses, including the hospital warehouse, according to the schedule prepared by management, including but not limited to:
  • Generating and updating inventory ledgers
  • Preparing the report of out-of-stock items
  • Preparing inventory checks following the checklists Responsibilities
    Risk Management and Compliance
  • Adhere to standard pharmacy operating procedures to ensure compliance, improved controls, and robust processes. • Ensure full compliance with legal regulations, policies, procedures, best practices, professional standards, and Netcare’s strategy.
  • Collaborate in the internal communication of inventory policies.

Inventory

  • Participate in all aspects of cycle counting and inventory management processes in all warehouses, including those in the hospital, according to the schedule established by management, including, but not limited to:
  • Generating and updating inventory ledgers
  • Preparing the report of items not in stock
  • Preparing inventories following the corresponding checklists
    Risk Management and Compliance
  • Comply with the pharmacy’s standard operating procedures to ensure compliance, improved controls, and robust processes.
  • Ensure full compliance with regulations, policies, procedures, best practices, professional standards, and the Netcare strategy.
  • Collaborate in the internal communication of inventory policies.

Administration

  • Collaborate on any additional tasks assigned by the Inventory Coordinator or Controller and assist nursing staff and Unit Heads with their inventory-related inquiries. • General office administration to ensure efficiency, including, but not limited to, filing, printing, faxing, and other general administrative tasks.
  • Manage all routine administrative inquiries and work requests not included in this job profile and resolve them efficiently and effectively within established deadlines. • Maintain the cold chain for refrigerated products.
  • Assist in the general cleaning of the pharmacy and/or hospital storage areas to maintain a professional environment.
  • Participate in monthly meetings.

  • Essential Requirements
  • High School Diploma or equivalent (NQF 4)
  • Basic Storage and Inventory Control Certificate (BSSC). WORK EXPERIENCE
    Desired Qualifications
  • Experience in private hospitals (essential)
  • Previous experience in inventory management.
  • 6 months to 1 year of experience in a similar role
  • Knowledge and experience with pharmaceutical inventory control systems.

  • Preferred
  • Intermediate level of computer skills and proficiency in Microsoft Office applications.
  • Excellent interpersonal skills (development and maintenance of positive relationships; clear and effective communication with people at all levels, both verbal and non-verbal; collaboration to identify, define, and resolve problems).
